the customers on-line email address, the creation of a branded email message
that requests the customer to opt in to receiving further communication from you.
EchoMail will clean the permission based email database and provide back to our
client only the emails that have been matched, valid and deliverable permission
based email addresses. EchoMail will also address any complaints from email recipients
regarding the communication.
Business email appends are done by an exact match on the person's name and physical address.
The append process is completed in 48-hours. The permission campaign takes 5 to 7 business days.
During this time, customers who choose to unsubscribe from all future email correspondence are removed.
The final list of emails are verified and returned within 10 business days.

Permission: EchoMail and our clients take permission policy very seriously. EchoMail follows the FEDMA online
permission policies to the dot. The European online email marketing standards are extremely strict and EchoMail
takes pride in using the FEDMA standards.
THE MATCH PROCESS
The match logic behind the Append process can be quite complicated. Some companies match to households,
some to first initial and last name, partial addresses, etc
We feel that it is in the best interests of our clients to keep it simple. You provide us the name and
address of your customer and we match to that individual. This is of varied importance to our client base,
but of extreme importance to provide to our clients, due to strict policy of not marketing to the wrong persons.
Each of our agreements with our data providers stipulates that the name we receive is that of an adult (18+ yrs.)
and we do not work with data providers where this could become an issue. Yet, if there is ever a complaint, we
have the source/date/time stamp for each one of our names and will promptly provide it to manage the concern.
However, maintaining a policy of individual matching, further insures against ever receiving this type of complaint.
We realize that our prospects database will consist of valuable customer information, yet with a lax match process,
there could be cause for concern. The worse case scenario would be for a vendor to match against a household or first
initial and last name, and send the message to the child of a of a customer. I am John Doe as is my father. If we both
lived at the same address and both maintained an AOL account, it is entirely conceivable that this vendor could send the
permission message to the son instead of the father.
We openly discuss our matching policy with our clients and can set aside time for this in a conference call. Open
discussion of match-policy with clients should be inherent in any marketing relationship concerning Appends.
THE EchoMail APPEND FILE
For our Append list, all of our data is hosted on our secure servers which means better match rates and quicker
turnaround time. Each one of the now over 100 million domestic names within this database is source coded, date
and time stamped. Thus, we have this information quickly available to provide our clients in the instance that
there is ever a complaint posed by an email recipient. We feel that "where did you get my name" is a basic question
and integral to your protection. Thus, we place our ability to promptly provide this information in each one of our
Append contracts. The ability to provide the source of registration of an email in an emergency should be standard
for any company in data marketing. EchoMail stands by this capability in our agreement.
Please note that all aspects of our Append service are performed in-house. Thus, your data never leaves our branded
facilities. This maximizes security and quality control. Ask any vendor in your consideration, how many different
marketing partners of theirs will handle your data in their Append process.
Our email database for Append consists of a wide variety of mail servers. We have found that numerous firms in the
Append business maintain databases consisting largely of Hotmail and Yahoo accounts. While these names will provide
a match, on average they do not perform as well. These types of accounts tend to be filled with largely unread emails.
Many people make use of their Hotmail and Yahoo accounts, but performance of our Appends in your subsequent campaigns
is definitely enhanced by EchoMail monitoring and seeking out alternative email accounts for both new and existing
database names.
Each name in our Append database undergoes a rigorous data hygiene process:
- Using industry leading software each email is validated for Syntax, domain and server. Non-standardized addresses are dropped (thus, minimizing bounces.)
- Data is compared to the DMA suppression file and non-marketable addresses (prisons, etc.)
